How Often Should Your Staff Refresh Their Training?

Oct 13, 2026 | KC News

Completing workplace training once doesn’t mean a worker has finished learning. In industries such as Disability Support and Aged Care, knowledge, standards, client needs, and best-practice approaches can change over time. That’s why staff should refresh their training as an important part of an organisation’s ongoing workforce development strategy.

But how often should staff refresh their training? Is once a year enough? Should some courses be completed more frequently? And how do you know when someone needs additional training?

No single period applies to every course or every employee. Instead, organisations need to consider regulatory requirements, the type of skill being performed, workplace risks and whether workers remain competent and confident in their roles.

At Skills Centre Australia, we help organisations keep their workforce knowledge and practical skills current through flexible training options designed for the care and support sectors.

Refresh Their Training

Why Should Staff Refresh Their Training

Think about a skill you learned several years ago but haven’t regularly used since. Even if you understood it perfectly at the time, remembering every step today may be difficult.

Workplace skills can be similar, especially in the Disability Support and Aged Care sectors, where workers learn skills to help people maintain their independence.

Without regular practice, workers may forget important details, develop shortcuts or become less confident performing certain tasks. Meanwhile, industry expectations, organisational procedures and recommended practices can also change over time.

Staff should refresh their training regularly, as it gives them an opportunity to revisit key knowledge, reinforce correct procedures, and identify areas where they may need additional support.

For organisations, regular training can also strengthen a culture of continuous learning, safety, and quality.

Most importantly, training should be about more than having a certificate on file. Workers need to confidently apply what they have learned when supporting real people.

How Often Should Staff Refresh Their Training?

The answer depends on the training. Some qualifications or competencies have recognised renewal recommendations. For example, Safe Work Australia guidance recommends refreshing workplace First Aid Training and CPR training annually, and renewing First Aid Standard qualifications every three years.

Other areas do not necessarily have one universal expiry period.

For NDIS providers, the NDIS Practice Standards focus heavily on competency. Registered providers are expected to have systems to identify, plan, record, and evaluate worker training to ensure workers have the skills required to meet participant needs.

The Standards also require refresher training in areas such as infection prevention and control, and relevant verification requirements include refresher training in standard precautions and the use of personal protective equipment for applicable workers.

This means organisations shouldn’t automatically assume every course needs to be completed every 12 months.

Instead, a training schedule should reflect the requirements and risks associated with each worker’s role. At Skills Centre Australia, we recommend refreshing most courses after 12 months.

Training Is Not Just a Checkbox

One of the biggest mistakes organisations can make is treating training as a compliance exercise.

A spreadsheet might show that an employee completed Manual Handling training nine months ago, but can they still safely demonstrate the techniques?

The NDIS Commission highlights that even when a training provider issues a certificate or qualification, providers remain responsible for making sure workers have the capabilities they require.

That distinction is important. Training records demonstrate that education has occurred. Competency shows that workers can apply what they’ve learned.

This is particularly important for practical skills and higher-risk supports, where incorrect techniques could affect worker safety or the safety of the people they support.

When staff refresh their training, organisations can reinforce those skills before knowledge or confidence begins to decline.

What About Aged Care Staff Refresher Training?

Ongoing training is equally important in aged care.

Under the strengthened Aged Care Quality Standards, applicable providers must ensure workers are skilled and competent in their roles and receive appropriate training and supervision. The standards also require regular competency-based training across core areas such as person-centred and rights-based care, dementia care, medical emergencies and requirements relating to the Code of Conduct and Quality Standards.

Aged Care providers are also expected to maintain a training system that responds to incidents, identified risks, complaints, feedback, and worker performance reviews.

In other words, training shouldn’t only occur because a predetermined date appears on a calendar.

Sometimes you may need to refresh knowledge sooner.

When Should You Consider Refreshing Training Early?

Even if a scheduled refresher isn’t due yet, additional training can still be valuable.

For example, consider reviewing training when a worker begins supporting someone with different or more complex needs, an incident or near miss identifies a potential knowledge gap, workplace policies or procedures change, legislation, standards or industry guidance changes, new equipment or support techniques are introduced, a supervisor identifies a skills gap, employees report that they lack confidence in a particular task, or a worker has not performed a practical skill for an extended period.

These situations can provide valuable information about what your workforce needs to learn next.

Don’t Wait Until Training Has Expired

Leaving training until the last minute can create unnecessary pressure. If multiple employees need to refresh their training at once, organisations may suddenly find themselves trying to coordinate staff availability, course bookings, and operational requirements at the same time.

Planning training throughout the year makes workforce development much easier to manage. It can also help organisations identify upcoming training needs before they become urgent.

Regularly reviewing your training requirements, rather than simply checking it before an audit, can help ensure workforce development becomes an ongoing process.

Make Staff Refreshing Their Training Part of Your Culture

So, how often should staff refresh their training? There isn’t one answer that applies to every organisation, employee or course.

Some training has established refresher recommendations, while other areas should be reviewed based on competency, participant or client needs, workplace risk, changing requirements, and organisational policies.

The key is not to treat training as something employees complete once and forget.

Regular staff refresher training keeps important knowledge front of mind, strengthens practical skills, and helps organisations develop a workforce that is confident, capable, and ready to provide quality support.

Whether you’re planning annual training, updating your training requirements or have identified skills your team needs to refresh, Skills Centre Australia can help.
